How will CalAgenda use the CalNet Directory?

CalAgenda has maintained its own directory information containing subscribers' addresses, job titles, phone and fax numbers, and email addresses. This information has been separate from UC Berkeley's main directory, the CalNet directory (http://directory.berkeley.edu). This has meant that people changing email addresses or other personal information must change it in the CalAgenda directory as well as the CalNet directory. When the CalNet directory link is complete on September 13, 2005, CalAgenda will pull its directory information from the CalNet directory.

What if my name in the CalNet Directory is different from my name in CalAgenda?

Names will be part of the directory information that will be used. When the pull of information from CalNet occurs, your name as it appears in the CalNet directory will be your name in CalAgenda, also. If your name is different in the CalNet directory, your CalAgenda log-in will change to your CalNet directory name.

If you would like to continue using the name you have on CalAgenda, you are welcome to change your name in the CalNet directory to match it. There is no requirement to use a more formal name in the CalNet directory. For example, if you prefer to be known as "Mike", but your name in the CalNet directory is "Michael", you can change your name in the CalNet directory to "Mike". This will not affect the name used for payroll purposes.

If you have non-English characters in your CalNet directory name, such as è or ñ, CalAgenda will use the English version of your name.

How do I change my CalNet directory listing?

Go to http://directory.berkeley.edu and select 'Update listing' from the menu bar. Select either the 'Faculty, Staff or Affiliates Listing' button or the 'Student Listing' button. Provide the information requested in the window - 'Faculty/Staff ID, Last Name, Birth Month, Birth Day and your initials. When your Employee Profile comes up, you can change any information that is incorrect. Once you are finished, click the 'Review Update' button and choose whether to 'Submit Update' or make further changes.

I haven't been getting email notification of meetings since the CalNet directory use by CalAgenda. What's wrong?

If you have no email address listed in the CalNet directory, then the blank email field was tranferred to CalAgenda. To restore email notifications, enter your email address in the CalNet Directory.

Another possibility is that an old or inaccurate email address was in the CalNet directory and migrated to CalAgenda. Again, check the CalNet Directory for your email address and change it if appropriate.

In accordance with FERPA requirements, students who have opted not to display their email address in the CalNet directory will not have an email address in the CalAgenda directory.

My CalAgenda login name is going to change. What will happen to my name in existing calendar meetings and groups?

If your user name (login name) changes from Jack Brown to John Brown, your name will also change in existing calendar meetings and any groups in which you are included.

My CalAgenda login name is going to change. Will people looking for me using my former name be able to find me in the CalNet directory after my name change?

If your payroll name is Jack Brown, it will be stored as a hidden 'alternate' name for you. If this is true, then people searching the CalNet directory for either Jack or John Brown should find your name. This will not apply to the CalAgenda directory. Only the name displayed in the CalNet directory will be available in CalAgenda.

Will the my calendar password be affected when the service starts using the CalNet directory information?

No. Your password will remain unaffected by this change.

Will the my calendar data be affected when the service starts using the CalNet directory information?

No. None of your meetings or other calendar information will be affected by this switch. Only your CalAgenda directory information will change if it does not match the information in the CalNet directory. However, you might notice that someone invited to a meeting or included in a group has a name change.

I am a new employee. How can I get a CalAgenda account?

Employees must be in the CalNet directory before a CalAgenda account can be created. They need a UID in order to set up an account. An employee can find their UID by going to http://directory.berkeley.edu and looking themselves up. Their UID is in the upper right corner of their information record. This CalNet directory information usually appears within 24 hours of department's HR person entering the new employee's information in the HRMS database.

Once a new employee has a UID, he/she needs to contact their departmental CalAgenda account administrator and request a CalAgenda account. See Support Provider Lookup.

What happens if someone needs a CalAgenda account and they are not a UC employee or student so they are not in the CalNet directory?

When people are not in the CalNet directory, they are considered affiliates by the CalAgenda service. Affiliates include people like contractors and consultants. Affiliates may also be campus people who need to use an alternate email account due to their position in a department or on a committee.

Affiliate accounts need to be set up and managed by the departmental account administrator. Directory changes to these accounts will not be automatic.

Departments may wish to add some affiliates to the CalNet directory. Instructions for doing this are available on the HR Web.
