Granting Scheduling Rights

Overview

You control who can invite you to meetings by granting scheduling rights. People who have scheduling rights to your calendar can include you in a list of attendees when they propose a meeting. Those who do not cannot invite you to meetings.

The CalAgenda default gives scheduling rights to everyone for everyone. This means that any CalAgenda user can invite you to a meeting. This works well for most people. However, senior managers may wish to restrict scheduling rights to their calendars to a smaller group of people. Furthermore, you can change the default setting to refuse scheduling rights to anyone other than those to whom you have specifically granted them.

You specify scheduling rights separately from other access rights to your calendar. People's ability to invite you to meetings is independent of their ability to view your calendar or make changes to it.


How to grant scheduling rights - step by step

In the following example, I am going to change the CalAgenda default to exclude everyone from inviting me to a meeting and will set it so that only those people I grant rights to can invite me. I will then grant scheduling rights to the members of my department (Workstation Support Services, WSS).

Select Access Rights... from the Options menu:

The Access Rights dialog window is displayed. Select the Scheduling tab.

The default selection is that any one can invite me to meetings and include me on daily events and notes.

I change the CalAgenda system default by un-checking the check box labeled, "Can invite you to Entries":

This change means that no one can invite me to a meeting unless I have specifically granted him or her the right to do so.

 

I am now going to grant scheduling rights to the members of my department. I need to add all of them to my list.

As long as a group has already been created with all the staff members in it, I can search for my group. (See Creating Groups). I type "g:wss" in the directory search field, which means, "search for all groups (g:) whose name begins with wss."

I click on the to start the search.

 

 

Oracle Calendar displays a list of the groups whose names begin with "wss."

The first group in the list, "WSS Staff", is already selected so I can simply click on the OK button to get a list of the members of this group.

 

Notice that first user in the group, "Berkman, Jerry" is already selected and that the "Same as default" check box is checked.

Because I changed my defaults earlier to deny scheduling rights to everyone, this means that he (and everyone else I just added to the list) cannot yet invite me to meetings.

I need to specifically grant scheduling rights to each person I have added to the list.

With the user, "Berkman, Jerry" selected, I uncheck the "Same as defaults" check box and check the "Can invite you..." check box instead.

Jerry can now invite me to meetings.

I repeat the step above for each person in the list.

I click on the OK button to change my settings.
