Set Up Your Department's Groups

Access Levels

An Oracle Calendar group is distinguished by its access level and its ownership. The access level controls who can see the group and use it to select CalAgenda users for meeting invitations. The access levels for groups are:

Public: (Not recommended) Available for use by anyone on the system. Will appear to everyone in the list of groups. Can be modified only by its creator.

Private: Can only be used by the group's creator. Will only appear in its creator's list of groups.

Administrative: Can be used by anyone on the system but can only be modified by whomever has been given the rights to do so by the CalAgenda system administrator. Shows up in the list of groups produced by a directory search.

Members Only: Can only be used by the group's members and only edited by the group's creator. Will only appear in its members' list of groups.

By default, all imported Meeting Maker groups are Administrative and are owned by the CalAgenda system administrator (Called "Administration" in Oracle Calendar):

We want to prevent the proliferation of Public groups, which can be seen by all users and which will clutter every user's list of groups. To this end, the CalAgenda service recommendation for group configuration is:

  1. All groups should be owned by the individuals who created them or who are otherwise responsible for their membership.

  2. The default access level for most groups should be Members Only.

  3. Groups created for personal use should be given an access level of Private. Individuals should be discouraged from creating Public groups, which can be seen by all other CalAgenda subscribers.

  4. A department or organization wishing to create a Public group should discuss their plans in advance with the CalAgenda service coordinator.

Ownership of a particular group can be transfer from one person to another by making a request through the concerned individual's CalAgenda departmental account administrator to the central CalAgenda support group. Naming Conventions

The CalAgenda service team recommends that you give a group a meaningful name that identifies to which department it belongs and/or communicates something about its composition. This is especially true for public groups that will be seen by everyone. Generic names, for example, "Our Project", "Student Helpers", "Temporary Staff", and so forth should be avoided.
